FAQ, Informed Consent and Policies
Whether your needs are based around Yoga, Therapeutic Massage or Health Coaching, I take our connection seriously and with gratitude. Our mission is to provide high-quality, therapeutic massage services in a professional and respectful environment. To ensure that all clients have a positive experience, we have established the following policies. These policies are designed to create a safe, respectful, and organized environment for both clients and therapists.
Please review the important considerations before booking your session.
1. Appointments and Scheduling
Scheduling: All appointments must be scheduled in advance, either by phone, email, or through our online booking system. We recommend booking your massage at least 48 hours in advance to ensure availability.
Cancellations and Rescheduling:
24-Hour Notice: If you need to cancel or reschedule your appointment, please provide at least 24 hours’ notice to avoid cancellation fees.
Late Cancellations & No-Shows: Any cancellations made less than 24 hours before the appointment or no-shows will be charged a 50% cancellation fee of the scheduled service.
Late Arrivals: Arriving late may result in a reduced treatment time to ensure the next client’s appointment is not delayed. Full payment for the original session will still be required.
2. Payment and Fees
Pricing: Our current pricing structure is available on our website or upon request. Prices are subject to change, and clients will be informed of any adjustments at least 30 days in advance.
Payment Methods: We accept payments via cash, credit/debit card, and electronic payments (e.g., Venmo, PayPal) Additionally, we are accepting Health Savings Plan that use a “card” for payment. Full payment is due at the time of service.
Gratuity: Tips are always appreciated but are not required. If you wish to leave a tip, it can be given in cash or added to your payment at checkout.
Sliding Fee Option: We do offer a sliding fee scale. Please inquire if this is a need for you.
3. Health and Safety
Medical History and Health Concerns: Clients are required to fill out a Health Intake Form before their first appointment and update it periodically. This form includes information about medical history, any current conditions, allergies, or injuries. This information is critical for ensuring your safety and that the massage therapist can provide the best possible treatment for you.
No Pain, No Gain? For massage therapy clients, who are receiving clinical and deep tissue massage to help quiet chronic pain, there is potential for your body to feel somewhat sore 24 to 48 hours just after your session. This should only be experienced as soreness after a work out or an activity that you normally don’t do and can be helped by drinking extra fluids (water/electrolytes), stretching, cool packs and/or resting. This is normal. If you experience pain or soreness beyond this, please contact me so that our next session can be adjusted if need be.
Allergies - If you have allergies to oils or detergents, please mention this before our session so that I can provide a space that is as scent neutral as possible for you. I am happy to do this!
Cleanliness and Hygiene: We adhere to the highest standards of cleanliness and hygiene. All equipment, linens, and massage tables are cleaned and sanitized between each session. We also encourage clients to come to appointments in clean clothing.
Illness Policy: If you are feeling unwell (fever, cold, flu, COVID-19 symptoms), we ask that you reschedule your appointment to prevent the spread of illness. Rescheduling fees will be waived if rescheduled with more than 24 hours’ notice.
4. Session Conduct and Comfort
Professionalism: Our massage therapists adhere to a strict code of professional ethics. We ask that all clients also maintain respectful behavior during their sessions. Any inappropriate behavior (sexual innuendos, sexual harassment, requests for sex or genitalia massage, “happy-endings”, etc.crude or sexually alluding comments will not be tolerated, even as a “joke”) will result in immediate termination of the session, and full payment will still be required.
Modesty and Comfort: Our therapists are trained to ensure your comfort and will always work to respect your boundaries. You will be properly draped during your massage, with only the area being worked on exposed. Please feel free to communicate with your therapist at any time if you are uncomfortable or would like adjustments to pressure, temperature, or music.
Disclosures: Clients are encouraged to discuss any preferences or concerns with the therapist prior to the session (e.g., pressure, specific areas to focus on, allergies, etc.).
5. Confidentiality and Privacy
Client Confidentiality: All client information, including personal details and health history, is kept confidential and will never be shared without the client’s consent, except as required by law.
Privacy: We respect your privacy, and all personal interactions and sessions are conducted in a confidential and professional manner.
6. Special Accommodations
Pregnancy Massage: We offer specialized massage services for pregnant clients in the second and third trimesters. Please inform us of your pregnancy during the booking process so that we can ensure your therapist is properly trained and prepared for your session.
Accessibility: We are committed to making our services accessible to all clients. If you require special accommodations, such as wheelchair access or other support, please let us know in advance so that we can prepare appropriately.
7. Gift Certificates and Promotions
Gift Certificates: We offer gift certificates for services, which can be purchased through our website or in-person. Gift certificates are non-refundable and must be used within 12 months from the date of purchase.
Promotions and Discounts: Periodically, we may offer special promotions or discounts. These promotions cannot be combined with other offers unless otherwise specified. Please refer to our website or social media for current promotions.
8. Liability Waiver and Consent
Liability Waiver: By booking an appointment with us, you acknowledge that you are responsible for your own health and well-being during the session. Our therapists are licensed and skilled professionals, but it is important to inform them of any conditions or concerns you may have.
Consent: All clients must give informed consent to the massage therapy session before the treatment begins. You have the right to withdraw consent at any time during the session.
9. Cancellation of Services by Us
Right to Cancel: Laura Wheeler, LMT and Grace Holistic Therapies, reserve the right to cancel any appointment or session in the event of an emergency, illness, or if the therapist is unavailable. In such cases, we will notify you as soon as possible and offer you an alternative date and time for your session.
